Summary of Position and Duties
● Collaborate closely with the VP of Services, Director of Services, Convention Sales Department, and members of the Austin hospitality community.
● Provide support for convention groups utilizing 251+ rooms on peak (subject to adjustment), including monitoring the trace calendar and responding to client requests in a timely and professional manner.
● Ensure the highest quality of customer service by delivering necessary services during the pre-planning process and throughout event execution.
● Coordinate client site visits, which may include securing hotel accommodations and curating itineraries tailored to the client’s objectives. Participation may be required, with the understanding that some evening and occasional weekend entertaining is expected.
● Maintain accurate records in the company CRM to track services provided and support monthly reporting.
● Provide referrals to local suppliers, such as photographers, event venues, transportation companies, and Destination Management Companies (DMCs).
● Participate in the ongoing maintenance of the local supplier database.
● Actively contribute to team meetings and decision-making processes within the department.
● Cultivate and maintain relationships with local community partners while staying informed of industry trends.
● Travel to client and industry events as needed.
● Serve as a mentor to junior staff.
● Assist with special projects as assigned and provide support for Visit Austin-hosted events.
Key Qualifications and Skill Requirements
● A minimum of 3–5 years of professional experience in a similar position is required. Knowledge of Austin and the hotel or hospitality industry is preferred.
● Excellent communication, presentation, customer service, and database management skills.
● Ability to work effectively, conceptualize and prioritize objectives, and exercise independent judgment based on organizational policies and activities.
● Demonstrated ability to maintain a positive and professional demeanor when interacting with stakeholders, clients, staff, and partners.
● Strong organizational skills with the ability to manage multiple tasks and deadlines in a collaborative team setting.
